How it works

4 steps, start to finish

  1. 1

    Open Team

    From the dashboard, open Team.

  2. 2

    Invite by email

Choose Admin, Hiring Manager, or Viewer.

  3. 3

    Decide on reports

Check "Can view reports" only for people who should open them.

  4. 4

    They accept

The invite lasts seven days and must be accepted with the same email.

Why it matters

What you get with team roles

Four clear roles

Owner, Admin, Hiring Manager, and Viewer cover most small-team and platform setups.

Explicit report access

A checkbox per person decides who can open employment reports.

Enforced, not hidden

Without the grant, the report route is closed for that person.

Adverse action stays with leaders

Owners and admins work adverse-action cases and download evidence bundles.

Background check results are sensitive. Treat them that way.

Criminal history should be seen by the people making the decision, not everyone with a login. PreHireBadge separates who can order from who can read.

Owners and admins can always open reports, and admins can grant that access to others. Hiring Managers and Viewers can only open a report when someone checks "Can view reports" for them. Without that grant, the report route stays closed — not just hidden.

Inviting a teammate takes their email and a role. The invite expires in seven days, and the person accepts with that same email address.

Roles also decide who carries the legal steps. Owners and admins work adverse-action cases — choosing Proceed or Consider adverse action, saving assessments, sending notices, and downloading evidence bundles — so the FCRA steps stay with the people accountable for them.

FAQ

Questions employers ask about team roles

Still unsure? Ask Peter, our assistant, in the bottom-right corner, or browse the help center.

Who can see background check reports?

Owners and admins always can. Hiring Managers and Viewers can only when report access is granted to them.

Can a hiring manager send invites?

Yes. Owners, admins, and hiring managers can order checks. Report access is a separate grant.

How long does a team invite last?

Seven days. The person accepts from the email link with the same email address.

Does adding teammates cost extra?

No. Team roles are free.

Who can start adverse action?

Owners and admins. They open the case from a Records-found report, save the assessment, and send the notices.
