Why it matters
What you get with candidate invites
No sensitive data to store
You send a name and contact details. Identifiers go straight from the candidate into an encrypted field, so they never sit in your email, spreadsheets, or ATS notes.
Disclosure done right
A standalone disclosure screen, location-based state notices, and an e-signature are recorded before any search runs.
Reminders without chasing
A reminder can go out after 24 hours, again after 72 hours, and on the day before the invite expires. Owners and admins set expiry anywhere from 3 to 30 days.
Refund if it expires
A credit is used when the invite is sent. If the candidate never finishes and the invite expires, the credit is refunded once.
Same invite everywhere
Dashboard, CSV upload, API, and MCP all send the same invite email. API callers can turn off sending and deliver the link themselves.
Consent first, and collected by the right person
The safest way to handle a Social Security number is never to have it. PreHireBadge does not have an employer field for SSN, date of birth, or home address — on the dashboard, in a CSV, over the API, or through an AI assistant. Every order creates an invite, and the candidate supplies their own identifiers on their own screen.
The invite is built around FCRA consent. The first screen is only the disclosure that a consumer report may be obtained for employment. State notices follow the job location and, after the address step, the state where the candidate lives. The candidate types their legal name and signs before any identifier is collected.
Then they enter a masked SSN, an address, and optional prior addresses, and start a photo identity check. Afterward, a status page shows progress — never a hiring decision.

Questions employers ask about candidate invites

Why can't the employer enter the candidate's SSN?
By design. Every order is an invite, and the candidate enters identifiers on their own screen. If a number is pasted into an AI order sentence, it is stripped before the assistant sees the text. The API rejects a body that includes ssn or dob, even when empty.
How long does a candidate have to complete the invite?
Seven days by default. Owners and admins can set it anywhere from 3 to 30 days on the company profile. When an invite expires, the credit is refunded once.
Does the candidate need to create an account?
No. The link is the path through disclosure, notices, signature, and identity. Afterward, the candidate can sign in to the status page with a one-time code.
Can I send the invite by text message?
You can enter an email or a phone number. Email always goes out; text delivery is enabled once the texting campaign is approved by carriers.
Can I put the invite link inside my own app?
Yes. Over the API, set sendInvite to false and PreHireBadge returns the invite URL for you to deliver in your own onboarding flow.
